Welcome to A & S Medical Transportation LLC (“Company,” “we,” “our,” or “us”). By booking or using our non-emergency medical transportation services, scheduling a ride, or accessing our website, you agree to these Terms and Conditions. Please read them carefully.
If you do not agree with these Terms, you should not use our services.
- Definitions
For purposes of this agreement:
- “Passenger” means any individual being transported by our Company.
- “Customer” means the person booking or paying for transportation (this may be the passenger, a caregiver, family member, facility, or agency).
- “Service” or “Services” refers to non-emergency medical transportation provided by A & S Medical Transportation LLC.
- “Vehicle” means any van, car, or transportation equipment used to provide services.
- “Driver” means a Company employee or authorized independent contractor operating the vehicle.
- Scope of Services
We provide non-emergency medical transportation (NEMT) services including, but not limited to:
- Wheelchair transportation
- Stretcher transportation
- Ambulatory patient transport
- Senior transportation
- Transportation to and from hospitals, dialysis centers, rehabilitation centers, nursing homes, and other healthcare facilities
We do not provide emergency medical services (EMS) or ambulance transport. In case of a medical emergency, please dial 911 immediately.
- Eligibility to Use Services
To use our services, the following conditions must be met:
- Passengers must be medically stable enough for non-emergency transportation.
- Customers must provide accurate, complete, and updated booking details.
- Minors (under 18) may only travel with parental/guardian consent.
- Customers must disclose any special mobility, health, or safety needs prior to scheduling.
- Booking & Scheduling
- Transportation requests should be scheduled at least 24–48 hours in advance, subject to vehicle availability.
- Same-day or urgent transport may be accepted depending on capacity.
- Customers must provide accurate pickup and drop-off details, contact information, and any special requirements.
- We reserve the right to decline bookings if the request exceeds our service capability or violates safety protocols.
- Fees & Payments
- Customers agree to pay all applicable service fees as communicated at the time of booking.
- Payment may be made via credit/debit card, insurance, Medicaid/Medicare (where applicable), or approved facility billing.
- All fees must be paid in full before or at the time of service unless otherwise arranged in writing.
- Additional charges may apply for:
- Wait times beyond 15 minutes at pickup locations
- Extra stops requested during the trip
- After-hours or weekend/holiday transportation
- Declined payments or returned transactions may result in suspension of future services until resolved.
- Insurance & Coverage
Where applicable, transportation fees may be billed to Medicaid, Medicare, or insurance providers. However:
- It is the customer’s responsibility to confirm coverage eligibility.
- We are not responsible if insurance denies payment.
- Customers remain financially responsible for any uncovered balances.
- Cancellations & No-Shows
- Cancellations must be made at least 12 hours prior to scheduled pickup.
- Cancellations made less than 12 hours in advance may incur a cancellation fee.
- No-shows (when the driver arrives but the passenger is not ready or declines service) may be billed at the full trip rate.
- Repeated cancellations or no-shows may result in service refusal.
- Passenger Responsibilities
Passengers agree to:
- Be ready at the scheduled pickup location at least 15 minutes prior to the agreed time.
- Wear seatbelts or safety restraints at all times while in the vehicle.
- Follow driver instructions regarding safety and boarding assistance.
- Not smoke, consume alcohol, or use illegal substances inside the vehicle.
- Behave respectfully toward drivers and staff.
- Notify us of any health condition that may affect safe transport.
Failure to comply may result in refusal of service.
- Company Responsibilities
We commit to:
- Providing safe, reliable, and courteous transportation.
- Ensuring vehicles are properly maintained, licensed, and insured.
- Employing qualified drivers who undergo background checks, training, and drug screening.
- Protecting passenger information in accordance with our Privacy Policy.
- Medical Disclaimer
- We do not provide medical care, diagnosis, or treatment.
- Our drivers are trained in basic passenger assistance, not medical intervention.
- In case of sudden illness or emergency, drivers will contact 911 immediately.
- Passengers must travel with an attendant or caregiver if medical supervision is required.
- Liability & Indemnification
- Limitation of Liability: A & S Medical Transportation LLC is not responsible for delays caused by traffic, weather, accidents, or events beyond our control.
- We are not liable for passenger injuries arising from pre-existing medical conditions or passenger non-compliance with safety protocols.
- Customers agree to indemnify and hold harmless the Company, its employees, and affiliates against any claims, damages, or expenses resulting from misuse of services or failure to disclose necessary medical or safety information.
- Property & Belongings
- Passengers are responsible for their personal belongings during transport.
- We are not liable for lost, stolen, or damaged items left in vehicles.
- If items are found in vehicles, we will make reasonable efforts to return them.
- Prohibited Conduct
Passengers and customers must not:
- Engage in abusive, threatening, or violent behavior toward staff or drivers.
- Carry weapons, explosives, or hazardous materials.
- Use fraudulent or stolen payment methods.
- Provide false or misleading booking information.
Violation of these terms may result in termination of service and legal action.
- Website Use & Intellectual Property
When accessing our website:
- You may not use the site for unlawful purposes.
- All content (logos, text, images, software) is the property of A & S Medical Transportation LLC and protected under copyright law.
- Unauthorized use, copying, or distribution of our content is prohibited.
- We may include links to third-party sites, but we are not responsible for their content or privacy practices.
- Privacy Policy
Use of our website and services is also governed by our Privacy Policy, which explains how we collect, use, and protect personal data. By agreeing to these Terms, you also acknowledge our Privacy Policy.
- Service Modifications

Termination may be temporary or permanent, at our discretion.
- Governing Law
These Terms are governed by the laws of the Commonwealth of Virginia. Any disputes will be resolved in courts located in Richmond, Virginia.
- Amendments to Terms
We may update or amend these Terms at any time. Updated versions will be posted on our website with a revised “Effective Date.” Continued use of our services constitutes acceptance of the updated Terms.
